Bringing your clients over
On the coach's desk, Add a client has a Paste a list option. Paste the names and emails you exported, one person per line, in any order: a straight export from Trainerize or a spreadsheet works as it is. Evobody finds the email anywhere on the line and takes the rest as the name, so an export of just names and emails pastes cleanest.
Before anything is saved, every line is marked:
- Ready to add;
- Already on your roster, whatever the capital letters;
- Repeated in this list;
- Missing a name or a working email.
Confirm, and they are added one after another while you watch the count. There is no limit on how many lines you paste. Nobody is emailed at this point: your clients hear about Evobody when you decide, not the moment you paste.
Inviting them
There are three ways in, and you can use all of them:
- An invitation by email, sent from each client's page when you are ready. It tells them their training app is ready, to open app.evobody.app on their phone, type their email, enter the six digit code that arrives, and add the app to their home screen.
- A join link you share, for everyone or for one group. It can let people straight in, wait for you to let each one in, or only accept the emails you added, and you can switch it off.
- Adding someone by hand, for a client you coach in person.
On the free plan, five clients hold a place. A sixth is added and waits for one, and everything you build for them is kept.
What your clients see on day one
The first time a client opens the app it welcomes them and says the setup takes about ten minutes: their details, their goals, connecting a device if they have one, the terms, and a health and lifestyle questionnaire, plus any forms of your own you add to it. You can also set up a first day that runs by itself for every new client.
After that they open the app and the week's workouts are one tap away, with the week's recommended schedule underneath and everything you assigned a tap away.
Your programs, plans and documents
The client list is the quick part. The part most coaches dread is rebuilding a year of programming across a fortnight of evenings, and that part is supported rather than handed to you: Evobody's team helps you bring over your programs, your plans and your documents. Export what you have from the platform you are on, in whatever form it gives you, and we help you from there.
Nothing has to be finished before your clients can start, and very little in Evobody starts from nothing:
- A stocked library. Every coach starts with the same exercises, workouts and meals. Edit a starter item and you get your own copy, which no other coach sees.
- Four ways to start a workout: from scratch, from a template, as a copy of one a client already has, or from an on-demand session.
- Schedules that repeat: every week with no end date, every week until a date, or on a cadence of your own. A workout on the week view can be copied to another day.
- Meal plans from a template or from another client's plan.
- Your guides, videos and recordings go into each client's library, in the app instead of lost in an inbox.
The walkthrough call
Every coach who joins is asked to book a 30 minute walkthrough call: a banner on the coach's desk and the first email both carry the link. On the call we get you started, show you around, and set the app up on all your devices.
See it the way your client does
Every coach has their own client account, so you can use the app the way a client does before anyone else sees it. Once clients are in, View as client opens the app as one of them, for up to six hours, with a bar across the top that says whose app it is and that changes save to their account.
And your clients stop asking you how the app works
From the day they move across, a client with a question about the software asks Evobody, from inside the app, at any hour. It does not arrive in your inbox on a Sunday evening. Anything about their training or their plan still comes to you, because that is what they are paying you for. The full detail is on client support.
Leaving, if you want to
Cancelling takes effect at the end of the paid period, and nothing is deleted behind a coach who leaves. Clients past the fifth are switched off rather than removed, so subscribing again brings them all back. See where the data is kept in the meantime, and what happens if I cancel for the detail.
We will not hold your client history hostage to a renewal. It is a thing software does when it has nothing better to offer, and it punishes the client hardest, since they did not choose the software and cannot fix the bill.
If a payment fails
A client keeps everything and carries on logging. There is a 21 day grace period from the first failure, with a note in your billing settings showing the date, before anything stops. See the exact rules on pricing.
Coming from a specific platform
Each of these ranks the whole field from the point of view of somebody leaving that platform, because the right second choice depends on what went wrong with the first.
- Leaving Everfit, where the add-ons stack up, or the head to head on Evobody vs Everfit.
- Leaving Trainerize, where the tiers step hard and the AI is an add-on, or Evobody vs Trainerize.
- Leaving TrueCoach, where card processing is a flat 5% per transaction, or Evobody vs TrueCoach.
- Leaving My PT Hub, where the annual plan is a twelve month term, or Evobody vs My PT Hub.
- Leaving CoachRx, where 2% comes off the top, or Evobody vs CoachRx.
- Leaving PT Distinction, where the client app is the weak half, or Evobody vs PT Distinction.
- Coming off a spreadsheet, which is its own kind of move.
Questions about switching
How do I move my clients to Evobody?
Paste the list of names and emails you exported, one person per line. Evobody marks anyone already on your roster, repeated or missing an email, you confirm, and they are all added in one go. Then you invite each client when you are ready.
Does Evobody take an export from Trainerize, TrueCoach or Everfit?
Yes. It finds the email anywhere on each line and takes the rest as the name, so a straight export from Trainerize or a spreadsheet works as it is.
Do my clients need to download an app?
No. Their invitation tells them to open app.evobody.app on their phone, sign in with their email and a six digit code, and add it to their home screen. The iPhone app is in beta for those who want it, and GPS run tracking needs it.
How long does it take a client to get started?
About ten minutes the first time they open the app: their details, their goals, a device if they have one, the terms and a health and lifestyle questionnaire. After that, the week's workouts are one tap away each time they open it.
Can I see the app the way my client does?
Yes. Every coach has their own client account, and View as client opens the app as one of your clients for up to six hours.
Is there a minimum term?
No. Evobody is month to month, and cancelling takes effect at the end of the paid period.
Can I get help moving?
Yes. Evobody's team helps you bring over your programs, plans and documents, and every coach who joins can book a 30 minute walkthrough call, where we get you started, show you around and set the app up on all your devices.
